As part of organizing trips and communicating with travel inquiries, we process certain personal data. Below you can find out how we handle it.

The processing of personal data is governed primarily by Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016, known as the GDPR.

A. Processing of personal data in case of an inquiry

If you contact us with an inquiry about a trip or other services, we will process the personal data you provide to us.

This most commonly includes:

  • first name and last name
  • email address
  • possibly other information related to the planned trip (e.g. number of persons, travel dates, or specific requirements)

We process this data for the purpose of handling your inquiry and communicating about potential cooperation.

If no cooperation is concluded, we will retain this data for a maximum of 3 months from the last communication.

The legal basis for this processing is Article 6(1)(b) GDPR – pre-contractual negotiations.

B. Processing of personal data when ordering a trip

If you order a trip or other travel service, we will process in particular:

  • identification data (name, surname, date of birth)
  • contact details (email)
  • data necessary for organizing the trip (e.g. passport number or information required for booking accommodation or transport)

We need this data in order to:

  • arrange and organize the travel program
  • communicate with you regarding the trip
  • arrange reservations of services related to the trip
  • fulfill legal obligations

We will retain personal data for the duration of the service and subsequently for the period required by legal regulations, usually up to 10 years.

The legal basis is:

  • Article 6(1)(b) GDPR – performance of a contract
  • Article 6(1)(c) GDPR – compliance with legal obligations

C. Newsletter and marketing communications

If you subscribe to the newsletter, we will process your email address for the purpose of sending:

  • news about travel to Venezuela
  • information about upcoming trips
  • travel tips from the Planet Patanemo project

You can withdraw your consent at any time, for example via the link in the email.

We will process your email address for this purpose for 3 years from the date of consent or until it is withdrawn.

The legal basis is Article 6(1)(a) GDPR – consent.

Who may have access to the data

We protect your personal data and only share it when necessary with partners who help us provide our services.

This may include:

  • providers of accounting or administrative services
  • providers of email and marketing tools
  • providers of cloud storage services
  • partners providing services during the trip (e.g. accommodation, transport, or local guides)

Some services may be operated by companies based outside the European Union. In such cases, we only use providers that ensure an adequate level of data protection.

Your rights

Under the GDPR, you have the right to:

  • request information about what personal data we process about you
  • request access to your personal data
  • request correction of inaccurate data
  • request restriction of processing
  • request deletion of personal data in cases specified by GDPR
  • obtain a copy of your personal data

If you believe that we are not handling your personal data correctly, you have the right to file a complaint with the Data Protection Authority.

Planet Patanemo has not appointed a Data Protection Officer and does not use personal data for automated decision-making or profiling.
